Velare Detailing & Valeting – Terms & Conditions

1) Bookings & Deposits

• A deposit is required to secure all bookings and will be deducted from your final balance on completion.
• Your booking is confirmed once the deposit has been received.
• You may cancel or reschedule up to 72 hours before the scheduled time without losing your deposit.
• If you cancel or reschedule within 72 hours of the appointment, the deposit will be forfeited, as we may not be able to fill the slot at short notice.
• If you fail to attend (“no-show”), the full balance of the booked service becomes due.

2) Cancellations & Rescheduling

• Cancellations/reschedules made 72 hours or more before your appointment will not incur any charge and your deposit will be retained for your new booking or refunded on request.
• If you cancel or reschedule within 72 hours, your deposit will be forfeited.
• If we need to cancel or reschedule due to weather, illness, vehicle issues, or unforeseen circumstances, we will offer a new date within 14 days or provide a full deposit refund.

3) Payment Terms

• The remaining balance is payable upon completion of the service.
• We accept cash, card, or bank transfer.
• Late or unpaid balances may incur reasonable admin or recovery costs.

4) Mobile Service – Access & On-Site Requirements

• Please ensure the vehicle is available and accessible at the agreed time, with keys provided.
• For mobile appointments, we may require:
  • Safe off-road parking
  • Access to water and electricity (if required)
• If the working area is unsafe, unsuitable, or unsanitary, we may refuse or halt the service and retain the deposit.
• If the vehicle is excessively soiled (e.g., heavy pet hair, mud, mould), an additional charge may apply — we will advise you before continuing.

5) Vehicle Condition & Limitations

• We take great care with every vehicle; however, some stains, defects, and scratches may be permanent or below the surface and cannot be fully removed.
• We are not responsible for:
  • Pre-existing damage or poor prior repairs
  • Electrical or mechanical faults arising during/after cleaning
  • Damage to fragile, aftermarket, or previously compromised parts
• Any damage proven to have been caused directly by our services will be assessed fairly and remedied by repair or reasonable compensation, up to the total value of the service provided.
• Please check the vehicle on completion and report any issues within 24 hours.

6) Weather

• As a mobile service, adverse weather (e.g., heavy rain, storms, snow) may affect bookings.
• Where necessary, we will reschedule at no cost; if work cannot proceed after arrival, we will discuss rescheduling or a fair partial refund.

7) Photos & Marketing

• We may take before/after photos for records, training, or marketing.
• Registration plates and identifiable details will be hidden or blurred.
• We will not publish content that identifies you or your location without consent.

8) Privacy & Data Protection (UK GDPR)

• We collect only what is needed to manage your booking: name, contact details, address, and vehicle details.
• Data is stored securely and kept only as long as necessary for our legitimate business purposes.
• We do not share your data with third parties except where required to deliver our services (e.g., payment processing).
• You can request correction or deletion of your data at any time by contacting us.

9) Changes to These Terms

• We may update these Terms & Conditions from time to time.
• Changes apply to new bookings made after the revised terms are published on our website.

10) Governing Law

These Terms & Conditions are governed by the laws of England & Wales. Disputes will be subject to the exclusive jurisdiction of the courts of England & Wales.
